Scope of Position:
The Payroll Manager role sits within Finance team and is accountable to the Regional Financial Controller ANZ.

The role is responsible for providing accurate, timely and efficient payroll services to Everlight Radiology’s staff and is responsible for managing the Payroll Officer Part-time.
This position works with external vendors who are responsible for processing a Bi-Monthly Australian payroll and monthly ANZ Radiologist and Management payrolls. The Payroll Manager is required to manage the accurate input of payroll data to Frontier/ADP, check, advise of amendments or corrections, verify and deliver the final output for payment. The position requires a high level of understanding of all payroll-related matters.

Knowledge of Frontier’s Chris21 payroll system is required, as is knowledge of the Deputy time and attendance system. Advanced Excel skills are also a requirement for this position.

This is a full-time role requiring 5 days commitment per week.

Principal Accountabilities:

1. Ensuring Timely and Efficient Operational Aspects of Payroll and Other Associated Activities
  • Ensure compliance with payroll legal obligations related to pay and conditions, including management salaries, piecemeal payments, foreign exchange conversions, the Health Professionals and Support Services Award, superannuation, payroll tax, workers compensation, STP and NZ Payday Filing, US payroll, and end of financial year reporting in Australia, New Zealand and the US.

  • Manage payroll concerns including pay and salary disbursement, overpayment recovery, leave management, tax, GST and superannuation.Liaise with other Departmental Managers and with the People & Culture team (HR) on wage and pay queries.
  • Work closely with the UKI members of the Finance team in relation to radiologists working across the two regions and recharged. After-hours meetings are held at regular intervals using Microsoft Teams.
  • Work closely with the Accounts Payable team regarding payments for radiologists working on professional services contracts.
  • Provide a responsive service to all payroll matters and resolve difficult enquiries, including assistance with payroll errors and pay correction.
  • Ensure employee payments are processed accurately and within payment cycle.
  • Work closely and communicate regularly with the Chris21/Frontier payroll bureau team members to ensure Everlight’s payroll deadlines are met.
2. Responsible for Payroll and Employment Information for Data Input in Payroll and Timesheet Attendance Systems
  • Working closely with the Payroll Officer, ensure accurate use of the Chris21 payroll system for ANZ payrolls and ADP for the US payroll, and all other relevant database systems, including Deputy and the Middleware (used for radiologists pay preparation)
  • Ensure all employee records set up by the payroll bureau are accurate
  • Bi-Monthly Payroll: Assist the Payroll Officer as required in the preparation of the Bi-Monthly payroll, which includes the downloading of timesheet data from Deputy
  • AU and NZ Management Payrolls: Assist the Payroll Officer to update the ANZ Management payrun summaries each month to balance the against the Chris21 payroll reports. These payrolls are for salaried auto-paid employees.
  • Radiologist payrolls “Radpay”: To start the monthly process these steps are taken:
  • Export monthly radiologist timesheet data from Deputy for upload into Middleware to calculate radiologists’ piecemeal payments and monthly salaries
  • Update the exchange rates in the Middleware in readiness for the Radpay process.
  • Prepare and review EFT Reconciliation Reports for each payroll to summarise Gross and EFT values
  • Review Payroll Journals and load into Financial Force: Work with the Payroll Officer to prepare and load the journals for payroll, payroll tax and superannuation
3. Prepare Payroll Tax returns for payment prior to the end of each month

4 Prepare Workers Compensation returns for each jurisdiction

5 Managing Relevant External Vendors and Accounts
  • Regularly communicate with the Company’s external contacts, including following up pay queries and receiving notification of completed pay runs.
  • Maintain accounts and working relationships with relevant vendors.
  • The ability to prepare Ad Hoc reports from Chris21 Report Writer is required.
6. General Payroll Concerns and Assistance to Financial and Account Matters
  • Assist the Chief Financial Officer, the Regional Financial Controller ANZ and the Financial Controller UKI on special projects relating to the Finance team, as and when required.
  • Support and ensure the Finance team meet daily, weekly and monthly priorities, as and when required.
  • Assist the Payroll Officer with the compilation of data required by the BI Manager for Board Reporting each month-end
